Booking and Cancellation Policies – Effective December 1, 2022

We strive to make every visit to Nature’s Spa memorable and a great deal of preparation goes into our appointments. The historic increase in late cancelations and no shows not only impacts the spa, but our therapists as well. Unfortunately, this has resulted in some updates to existing appointment policies, as well as some new ones to ensure we continue to bring our very best to each and every client.

 

Deposits

All appointments require a deposit at the time of booking your service.

  • A $50 deposit is required for every individual service upon booking.
  • For multiple services or packages, a 50% deposit is required.
  • If you are booking an appointment for someone other than yourself, and you will not be part of the appointment, the service must be pre-paid in full.
  • Appointment deposits are non-refundable and serve to reserve our staff and room specifically for you at the specified time you requested. BUT appointments may be changed without incurring a fee if the minimum amount of notice is provided. If this occurs the deposit will remain credited to you and applied to your next appointment.
  • Any changes or cancellations to the appointment without the required amount of notice will forfeit the deposit in its entirety.

Cancelation Window

  • Individual service appointments require 48-hour notice of cancellation.
  • Groups of 3 or more, or appointments made for a holiday weekend (i.e. Valentine’s Day and Mother/s Day) require 72-hour notice of cancellation.

Arrival Times

  • We ask that all new clients arrive a minimum of 15 minutes prior to your scheduled time.  This allows for time to fill out your new client paperwork and meet with your therapist.
  • Returning clients, please arrive a few minutes prior to your scheduled appointment to ensure your “table time” begins as it should.
  • We will do our best to accommodate late arrivals and understand that things happen, however, if we do not have enough time to provide a quality treatment without impacting other appointments, we may need to cancel the service and reschedule.  In the unfortunate event of a late arrival that requires a cancellation, the deposit will be forfeited as if it were a late cancel or no show.

Prebook Discount

  • To quell the increasing demand for weekend appointments, we will no longer be able to honor pre-book discounts on the weekend.
  • Weekday appointments will still qualify for pre-book discounts.
  • Please be aware that if you cancel or reschedule the original pre-book appointment, the discount is no longer available (i.e. it does not carry over).
  • Packages are not eligible for pre-book discount.


Group Appointments

For Group appointments of 3 or more, the following is required:

  • A non-refundable deposit equal to 50% of the cost of the requested services at the time the appointments are booked.
  • The names of each person in your group and the service they would like to schedule.
  • Whether anyone in your party has a gender preference for their Service Provider.
  • A 20% gratuity will be applied to your services at check-out.
  • At check-out, one person in your party pays the balance and the gratuity for the group; we cannot accommodate individual check out
  • 72 hours’ notice is required to make any changes or cancel any appointments for your group
  • No substitutions can be made to packages

Note:  We make every effort to accommodate your group and make your visit special, but please understand services might be limited based on availability and preferences.

Making an Appointment

When making an appointment, please notify us of the following:

  • If you have any allergies or medical conditions, including pregnancy
  • If you have a gender preference for your Service Provider
  • If you have a request for a specific Service Provider
  • If you are celebrating any special occasions

You will be asked to provide a valid credit card with expiration date at the time of booking.

 

Arrival Time

  • For first time visitors, we ask that you arrive at least 15 minutes prior to your scheduled appointment to complete a new client form.
  • If you are a returning client, we ask that you arrive at least 5 minutes before your scheduled appointment.

 

Pre-Treatment Recommendations

  • Shaving is not recommended prior to body treatments (wraps and scrubs).
  • Shaving is recommended, but not necessary for men prior to a facial.
  • Removing make-up is recommended, but not necessary prior to a facial.
  • If you experience discomfort due to room temperature, massage pressure, music volume or any other conditions, please let your therapist know immediately.
  • Please let us know of any special needs or conditions that may be relevant to your treatment prior to your scheduled service.


Cancellation Policy

If you need to reschedule or cancel your appointment, please notify the spa at least 48 hours in advance of your appointment to avoid being charged the full price of the service.

Cancellations of group appointments require at least 72 hours’ notice.

We want to assure you Nature’s Spa is taking all of the necessary precautions with screenings of all persons entering our facilities, enhanced cleaning and sanitation efforts and an emphasis on following the recommended CDC guidelines to protect our clients and our staff.

In accordance with Executive Order 147, we now require guests to wear face masks while in our public areas.

General Questions

Do you treat minors?

We do offer massage and facial services to minors. We see many student athletes who find massage therapy helpful in preventing and/or recovering from an injury.  We also see young people with skin issues who find that regular facials can help effectively manage concerns.

We do request that a parent or legal guardian complete a Minor Consent Form giving us permission to perform the requested service. In addition, a parent or legal guardian has the option of sitting in the room with the minor while the service is performed, sitting just outside the room, or asking that we leave the treatment room door ajar.

What is your cancellation policy?

We request 48 hours’ notice to move or cancel an appointment, A cancellation fee will be applied for appointments canceled less than 48 hours in advance, up to and potentially including the full cost of the service.

Do you offer group appointments?
We do offer group appointments, for more details, please see the group appointments tab.

What is your product return policy?
All product sales are final unless the product is visibly damaged.

Do you offer foot detox?
We offer a detox body wrap which is intended for your entire body, but we do not offer detox services specifically for the feet.

Do you accept health care reimbursement and/or insurance?
Many of our clients use their flex spending debit card to pay for services. We do not file any type of insurance on your behalf; whether or not your service is covered is entirely dependent upon your plan, and we suggest you check with your provider before booking a service to ensure your expenses will be reimbursed.

What amenities do you offer?  Pool? Sauna? Locker room?
We are a small, intimate spa that prides itself on the quality of its services. We do not have the physical space for a pool, sauna or lockers. We have baskets in each treatment room to hold your personal belongings so they are never separated from you.

Do you accept Spa Finder, Spa Week or Spa Wish gift certificates?

Nature’s Spa does not accept Spa Finder, Spa Wish or Spa Week gift certificates. We offer Nature’s Spa gift certificates which can be purchased online or in the spa.

Massage Related Questions

I just had a car accident – can I schedule a massage?
It is recommended you wait at least 48 hours after an accident before you have a massage. It can take 24-48 hours for symptoms from an accident to manifest and we would not want to do anything too soon that could worsen a situation. Once past that period, massage therapy can be very helpful in providing pain relief and support the healing process.

I’m not sure which massage is best for me; how do I know which one to choose?
When making your appointment, the Front Desk staff will help you by asking some clarifying questions to narrow down the options. Once you arrive, your therapist will speak to you and at that time, if they feel you could better benefit from a different type massage, they will discuss that with you.

I’ve never had a massage before. How much of my clothing do I leave on?
How much clothing you leave on is entirely up to you. For the full benefit of massage, we do suggest men and women remove all but their undergarments. For females, removing your bra allows the therapist to effectively work the shoulders and upper back but if you prefer, you can lower your bra straps. Our therapists are skilled at draping techniques that always protect your privacy, and only the body part they are working on is uncovered during the massage.

 

Facial Related Questions

Do I need to remove my make-up before I come in for my facial?
There’s no need – you can show up to your facial with your makeup still on, since your esthetician will just remove it all during the cleansing portion of the facial.

What products do you use in your spa?
We use organic products in all of our spa services. For facials and body treatments, we use (and also sell) the Eminence Organic skin care line. These products are free of parabens, animal by-products, propylene glycol, sodium lauryl sulfates, harmful colorants and fragrances, mineral oils, petroleum, and other harsh cosmetic chemicals. Eminence products are handmade without any severe heating or hydrogenating processes that can affect the nutritional content and potency of natural ingredients.

How long after a chemical peel can I come in for a facial?
We recommend waiting between 4 to 6 weeks after a peel before receiving a facial. The skin is very sensitive and if you do too much you could cause post inflammatory hyper pigmentation. Sometimes 4 weeks after a peel a light facial and enzyme treatment can be used to remove any additional dead skin.

How long after fillers can I come in for a facial?
We recommend you wait up to a week after fillers to have a facial, especially if there is swelling, bruising or cold sores, as these can be tender and indicate that more time is needed for healing.

I’m not sure which facial is best for me; how do I know which one to choose?
When making your appointment, the Front Desk staff will help you by asking some clarifying questions to narrow down the options. Once you arrive, your esthetician will speak to you and at that time, if they feel you could better benefit from a different type facial, they will discuss that with you.

 

Body Treatment Questions

Is there anything I should know before I come for my body wrap (body scrub)?
For female clients, it is recommended you not shave your legs the day of the body treatment as the scrub could irritate the newly shaved skin.

Do I bring a bathing suit to wear for the tub soak potion of the body treatment?
You do not need to wear a bathing suit. Our body treatments are in private rooms with a bathtub. Your therapist will step out of the room to allow you privacy to get into the tub and will return once you are out. We provide a towel and robe/slippers for you to use as you step out of the tub.

I need to lose 5 pounds for an event I have coming up. Will your Detox Body Wrap help me?
All our body wraps help stimulate the lymphatic and circulatory systems to enhance the body’s natural cleansing capabilities. They are not intended for quick weight loss or cosmetic benefits, and we do not guarantee those types of results.

I am pregnant – can I book a body treatment?
We advise you to speak to your doctor before booking a body wrap for several reasons: 1) while wrapped, you are lying on a heated table and then soak in a hot sea salt bath. In some cases, the heat might be a bit overwhelming for you and/or your fetus; 2) you are on your stomach for approximately 30 minutes as we work on your back and the backs of your legs and you might find that uncomfortable; and 3) you are stepping in and out of a bath tub and we want to ensure your safety. Of course, staff members are available to help you in and out of the tub if you prefer. In some cases, we reserve the right to request a doctor’s note in order to provide a body wrap.

 

 

Pregnancy and Post Pregnancy Related Questions

Do you offer Prenatal Massage?
Yes, we do offer Prenatal Massage. We do require you be out of your first trimester to schedule a massage. The first trimester carries an increased risk of miscarriage, and there is concern that the increased blood flow during a massage might be harmful. In addition, anyone experiencing mild to severe complications — such as early labor, high blood pressure, or a history of multiple miscarriages — should probably not have prenatal massage.

If you are a first-time client, we will ask you to complete a Prenatal form in addition to our New Client form.

How late in my pregnancy can I get a Prenatal Massage?
Prenatal Massage can be performed at any time during the third trimester. In fact, as your due date approaches, massage can help reduce the pain and discomfort of low back pressure, swollen feet and shoulders, while enhancing sleep and reducing stress.

Do your massage tables have an opening for my belly?
We use our regular massage tables for Prenatal Massage and have you lie on your side while we prop you up with pillows. Our Prenatal clients find this arrangement very comfortable.

Are your massage therapists certified in Prenatal Massage?
While some prenatal clients might feel more comfortable with massages therapists certified in Prenatal Massage, certification is not required to practice in the state of North Carolina. Our therapists have many years of prenatal experience and will provide a wonderful and safe massage.

Can I schedule a body wrap if I am pregnant?
We advise you to speak to your doctor before booking a body wrap for several reasons: 1) while wrapped, you are lying on a heated table and then soak in a hot sea salt bath. I would like to come for a massage but am nursing and concerned about comfort while lying on my stomach. I am also concerned about leakage. What can you do?
Our clients find that rolled up towels, a pillow, or a combination of the two provides comfort while they are lying on their stomach. Your therapist will work with you to ensure you are comfortable throughout your session.

Do you have a place where I can pump while I am at the spa?
Please alert the Front Desk staff when making your appointment that you will need a place and time to pump and we will make sure we note that. We do have a private rest room and depending upon our schedule that day, we might be able to add a little extra time to your appointment so you can remain in the treatment room. If you are scheduling a package with multiple services, we can always allow time in-between services for you to pump.

Add On Treatments

What does the add on foot treatment entail?
The add on foot treatment is a 4-step process. It begins with a cleansing of the feet and a gentle exfoliation, followed by the application of a masque. We then put heated socks on your feet to allow the masque to penetrate. The last steps include a moisturizing foot massage and cooling gel application. We like to think of the foot treatment as a mini-facial, but for your feet.

What does the add on scalp treatment entail?
Our scalp add on treatment is an invigorating massage of the scalp using a scalp oil and tonic for increased circulation, hair follicle stimulation, mental clarity and an overall sense of calm. You can request no product be used for this add on treatment.

What is the difference between the 3-step and 6-step eye treatment?
With the 3-step eye treatment you get the benefit of a gentle exfoliation of the eye area, followed by the applications of an eye masque and then a hydrating eye cream.

The 6-step eye treatment incorporates those same steps, as well as an eye area massage, a cooling cucumber gel, and the application of collagen eye pads.

Both treatments help rejuvenate the very delicate eye area.

What does the lip treatment do?
Similar to the 3-step eye treatment, the add on lip treatment incorporates a lip exfoliation, a lip masque and a lip moisturizer to help revitalize the gentle and often overlooked lip area.

Do add on treatments add any time to my service?
Our add-on treatments are typically incorporated into the scheduled service and do not necessarily add any time. Multiple add-on treatments can add time to your service.

Nature’s Spa can accommodate groups of up to 8 individuals. Given how quickly our schedule fills, it is recommended you contact us at least 6-8 weeks prior to your desired visit to schedule your appointments.

Nature’s Spa is committed to a safe and welcoming environment for our clients and our staff.

The safety and comfort of our clients is top priority.

We have developed very clear procedures around the draping process that is executed for all of our services. We require the client’s approval for specific work on certain areas of the body, when that work is either requested and/or recommended by the therapist or the referring physician for the health benefit of the client. If at any time a client is uncomfortable, we encourage them to immediately stop the service and ask to speak with the manager who will handle the situation with respect and courtesy; away from all staff members.  

We also take the safety of our staff into consideration. If, at any time, they find the client’s behavior or language inappropriate, they are encouraged to excuse themselves from the session and report their concerns to the front desk staff.

All client information is considered private and confidential and is only used by our staff to ensure the best outcome for your service. All staff members sign a confidentiality agreement, which governs how all information provided us is to be used and protected. Violation of this agreement or above procedures can result in immediate termination and/or legal action.
